ServiceTitan alternatives for a five-person crew

Short answer: ServiceTitan is more powerful than any of the ServiceTitan alternatives built for small shops, us included. It's also priced per tech, by quote only. You sign a contract and go through a setup project. And it's built for outfits many times the size of a coating crew.

So the real question isn't "what's cheaper?" It's which of its features you really need. For most coating shops the answer is three of them. You can buy those three without an enterprise contract.

What ServiceTitan does better than we do

This has to come first. The honest version is the useful one.

  • Enterprise dispatch and call center. Many dispatch boards, call-taking flows and booking agents. It can plan the workload for a big fleet. We don't compete here, and we won't pretend to.
  • Ad tracking at scale. Deep reports on each campaign, across many trucks and channels.
  • Homeowner financing. It has mature links to lenders. Ours is a tracker, not a lender API.
  • Reporting depth. Want to slice twelve months of data twenty ways? It will do it.
  • It has all four features a coating shop needs. That's inventory, job costing, crew KPIs and payroll. Of the general tools we checked, it was the only one that did.

Do you run twenty or more techs across several trades, with a call center? Then ServiceTitan is the serious answer. A small trade-specific tool isn't.

The wrong-size problem

Buying way too much software is a real way to fail. It's not a cute objection. It shows up in three ways.

Per-technician pricing with a contract

Pricing is by quote only, and it grows with every tech you add. A contract term and a setup project come on top. Say your crew swings between three and eight people with the season. Paying per head works against you, and so does the lock-in. We won't post their numbers, since they're behind a quote and they change. But before you compare anything, ask for the total first-year cost in writing. Make sure it includes setup.

Setup time you have to staff

Enterprise software shows up as a project. There's setup, moving your data and training. That makes sense for a big fleet. At five people, the owner is also the setup team. That time comes out of selling floors.

It isn't built for coating

ServiceTitan is built for HVAC, plumbing and electrical. It has no coverage math for resin, flake and topcoat. There's no square-foot cost model for a floor. And there's no coating job flow that treats moisture and prep as core field issues. You'd have to bend the software toward your trade. You won't find your trade already built in.

We checked the ServiceTitan rows on 2026-07-26. We used the vendor's own published info and outside trackers. Pricing is quote-only, so we left it off on purpose. If we couldn't confirm something, that doesn't prove it's missing. Check again before you lean on any row.

The ServiceTitan alternatives that fit a small crew

If ServiceTitan is too much, here's who to look at. Only the last one is built for coating. The notes come from the same July 2026 review of each vendor's docs.

  • Jobber is great at booking and billing. We found no inventory, job costing sits a tier up, and it's priced per seat. Full read →
  • Housecall Pro has the best homeowner booking. We found no inventory, and it tracks cost at the call level. Full read →
  • Workiz is strong on built-in phone handling. Inventory is top tier only, and we found no real job costing. Full read →
  • Service Fusion offers unlimited users. Inventory and costing sat on a higher plan. We found no crew tracking.
  • ServiceM8 gives you unlimited users and real job costing on its upper tier. We found no inventory, and it bills by jobs per month.
  • FieldPulse markets inventory hard. Reviews rate its depth lower than the marketing does, and pricing is by quote.
  • CoatHQ is built for coating. Unlimited users on both plans, with inventory, job costing and crew performance on Pro. It's narrow on purpose, and it's the only one here built for your trade.

Where we're behind

  • Payroll prepares gross pay. It doesn't file taxes. You get any pay structure, an approval flow and a CSV export. Then your payroll provider files.
  • No enterprise dispatch and no call center module. Both are true. If you need either one, the enterprise answer is the right one.

Frequently asked questions

What is the best ServiceTitan alternative for a small contractor?

Start by deciding which of its features you really need. Maybe it's inventory, job costing and crew performance. Several smaller tools have those, with no per-tech contract. But if you need enterprise dispatch and call center depth across many trucks, nothing small replaces it.

Is ServiceTitan worth it for a five-person crew?

Usually not. Per-tech pricing, a contract and a setup project fit shops many times that size. It won't come up short on features. The risk is paying for depth a five-person coating crew will never use.

What does ServiceTitan do better than smaller platforms?

It wins on enterprise dispatch, call center work and ad tracking. It also leads on financing, and on deep reports for a big fleet. And it was the only general tool in our review with all four features a coating shop needs.

Is ServiceTitan built for concrete coating?

No. It's built for trades like HVAC, plumbing and electrical. It has no coverage math for resin, flake and topcoat. There's no square-foot cost model for floors and no coating job flow. You'd bend it toward your trade instead of finding your trade built in.

How long does it take to get running on CoatHQ?

There's no setup project to schedule. You set it up yourself. Contacts come in by CSV. You build your quote templates and line-item library once. The crew screens are kept lean on purpose. How long it takes depends on how much history you bring. So ask on the call for a real timeline for a shop your size.
